Before you book an apartment you have not visited, check three things: what the apartment is actually like, who is handling the booking, and what you are agreeing to pay. A polished listing is a starting point. It is not a complete answer to all three.

You do not need to settle every detail in a single message. Make a short list of the information you have, the information you still need, and the answers that would change your decision. Use the same list for each apartment so that a beautiful balcony does not distract you from an unclear total price or unsuitable sleeping arrangement.

Start with your own non-negotiables

Write down your arrival and departure dates, number of occupants, maximum total housing budget, and any essential requirements. These might include a separate bedroom, step-free access, permission for a pet, or a place to take work calls.

Be specific about what you mean. A table in a photograph does not tell you whether it is comfortable for a full working day. An elevator in a building description does not tell you whether there are steps between the street and the apartment. Ask about the complete situation you need to use.

Keep preferences separate from requirements. You may compromise on a view; you may be unable to compromise on access. This makes it easier to decide whether an unanswered question should pause the booking.

Check the apartment, not just the best photograph

Read the description alongside the images. Look for the spaces you will use every day: bedroom, bathroom, kitchen, living area and any outdoor space. If a room is missing, ask for a current photograph rather than filling in the gap yourself.

Ask whether the images show the exact apartment being offered and whether its furniture or layout has changed. If a video tour is available, suggest a simple route through the rooms so you can understand how they connect. A video adds context; it does not independently establish ownership, availability or all the apartment's conditions.

  • Confirm bed sizes and the sleeping arrangement for every occupant.
  • Ask which appliances, kitchen items and linens are included.
  • Check heating, cooling and hot-water arrangements for your stay.
  • Ask about windows, outside noise and nearby construction if these matter to you.
  • Clarify any difference between the written description and the images.

Understand the location you are choosing

Confirm the building location through the booking process before making a commitment that depends on it. A neighborhood name alone is not enough to evaluate your daily route. Check the trip to the places you expect to visit regularly, including the walk at each end.

If the exact address is not yet available, record which location details remain uncertain. Ask when they can be confirmed. Do not treat a map pin or an attractive neighborhood description as proof of a particular commute, street environment or building entrance.

For an arrival from abroad, also clarify how you would reach the apartment and receive the keys. Flight arrival time is not the same as arrival at the building. Ask what happens if your flight changes or you arrive outside the agreed check-in window.

Match the listing, the contact and the payment request

Keep the property reference, agreed dates, written quote and contact details together. Check that a payment request refers to the apartment and arrangement you discussed. If the recipient, amount or payment instructions change, pause and confirm the change through a contact channel you already know.

Ask who is responsible for answering questions before arrival and who handles problems during the stay. If an agent or administrator is involved, clarify their role. You do not need to infer it from a profile picture, a friendly conversation or a professional-looking document.

Avoid letting a deadline replace a missing answer. If you cannot establish what you are paying for or who is requesting payment, do not send money merely to keep the conversation moving.

Put the complete agreement in one place

Before deciding, gather the quote and the relevant conditions in writing. Separate the recurring rent from any deposit, fees and other charges. Confirm the currency, payment schedule, what is included, and what may be charged separately.

Ask how cancellation, date changes and an extension would be handled. Record the answers that apply to your booking rather than assuming the same rules apply to every apartment or platform.
